Customer Experience
Customers can start shopping two ways:
- Browse Mode: quickly see a list of vendors in a certain category. When customers click on a service they want, they are taken to the Availability Mode.
- Availability Mode: Customers enter basic search criteria (date, time, attendees, target location) and are shown the services that are available with the price that they will pay. There is extensive query logic to determine the available choices, including prices, availability, and other rules that the vendor set. Customers then pay a 50% deposit during checkout and are charged the remaining balance 3 days before the event.

- Customer site (e.g., demo.iconvene.com): Where customers shop and purchase meeting services
- Vendor site (MyStore): Where vendors enter and maintain their meeting services
- Administrative Site: Where customer accounts, vendor accounts, site content, orders, and settings are managed

- Out of the Box: Meeting Rooms, Catering, AV, Speakers, Entertainment
- Custom support for other types of services are available
Payment/eCommerce Features

- Can set the required deposit amount at initial booking (default = 50%)
- Can set the number of days before the event that final payment is automatically made (default = 3 days before)

Marketing Features
- Search Engine Optimization (SEO) features to allow search engines to find your entire list of services and display them in the organic (free) results. This helps customers find your services online without you having to pay for sponsored search results.
- Content Management System allows you (a non-technical person) enter and manage website content in a WYSIWYG Editor which includes a Spell Checker, and support for photos, videos, and Flash.
- Includes pages for a Blog, PR, News, Careers, and Advertising entries.
Vendor Support
- Vendor site allows you to update your services or calendar from nearly any Internet enabled device
- Vendors can have unlimited locations and users to support national chains
- Policies define how and when a vendor’s items are for sale, including: working hours, holidays, gratuity, cancellation, delivery area and cost, and lead time.
- Extensive use of help text and videos to help guide vendor through process of setting up and maintaining their store.
- Each meeting service has customized screens to walk the vendor through the description, pricing, gratuity, pictures, options, and extra cost upgrades.
- Sale/Upcharge support so that vendors can put an item on sale or raise the price of the item for a specific period of time.
Meeting Room Support
- Outlook-like calendar to allow meeting room owners to manage their meeting rooms. Supports recurring meetings and colored appointments.

- Pricing based on blocks of time plus each additional hour. For example, $250 for first 4 hours and $50 for each hour after. Total price is automatically figured when customer books the room.
- Space Release Guideline feature to show room availability within a defined time period
Catering/Private Dining Support
- Minimum Order support - customers can't check out unless they have met the minimum
- Set a maximum delivery range and set pricing rules that will be applied based on how far the customer is away from the kitchen. e.g., Charge $10 for up to 10 miles away and charge $20 from 10m to 20m away
- Catering Credit/Minimum Spend amount allows you to set a credit that customers will get if they book a room.
Customer Service Features
- Chat Support: Currently leverages Axosoft's Purechat
- Notification emails to customer service personnel are sent out if the customer creates or cancels their order.
Notification Support
- When user's book services, customers get a detailed receipt and vendors get a detailed work order.
- When final payment is automatically charged (3 days before event), customers and vendors get another notification 3 days before the meeting date.
Admin Site Features

- Control vendor accounts as they complete the setup process – from signup to allowing vendors to be searched.
- Set transaction fees for each vendor
- View and manage orders and reports of usage and searches.
Optional Modules
- eRFP Form so that customers can submit an RFP for more complex events.
- Coupons: allows the vendor to give out coupons that correspond to a percent or dollar discount.
